About the role

Key responsibilities & impact
  • Lead and manage assigned experiential projects from post-kickoff through final closeout
  • Serve as the primary production point of contact across pre-production, build, load-in, event, reconciliation, and closeout
  • Recommend executable solutions aligned with strategy, timeline, budget, and client objectives
  • Collaborate cross-functionally with Accounts, Strategy, Client Development, Design, and Operations
  • Contribute to client-facing materials and travel for assigned projects as required
  • Own fabrication decisions, including custom builds, scenic elements, structural components, materials, and quality control
  • Manage fabrication shops, interpret drawings, review samples, and drive quality control through final delivery
  • Resolve build issues proactively and evaluate vendor quotes and costs
  • Manage permits across multiple markets, including street closures, fire marshal approvals, venue requirements, and health and safety compliance
  • Manage vendor COI and insurance requirements and maintain market-specific compliance knowledge
  • Run load-ins and strikes, coordinating freight, trucking, labor, and site surveys
  • Staff, brief, and manage crew and labor on event days
  • Maintain logistics tracking for shipping, equipment, and scheduling
  • Manage technical production requirements across power, rigging, AV, lighting, and interactive or digital elements
  • Work with rigging crews, power engineers, and AV vendors to identify and resolve technical risks
  • Own project budgets from initial estimate through final reconciliation and protect designated profit margins
  • Track spend in real time, submit change orders, reconcile actuals, and negotiate vendor costs
  • Coordinate project closeout and ensure vendor invoices are received, reviewed, and reconciled
  • Manage client relationships, expectations, status calls, client reviews, and onsite briefings
  • Communicate risks, delays, and budget concerns with recommended solutions
  • Source, manage, and coordinate third-party vendors while fostering long-term relationships

Requirements

What you’ll need
  • Must live in or surrounding area of Nashville, Tennessee
  • Available to start as soon as possible through the 2nd week of November
  • 5–7+ years of experiential marketing or live event production experience
  • Proven track record of owning projects end-to-end
  • Ability to independently manage full project lifecycles from kickoff through reconciliation
  • Experience owning budgets of $500K or more
  • Ability to carry 3+ concurrent projects simultaneously
  • Experience managing fabrication shops, reading and specifying drawings independently, and driving quality control on custom builds
  • Direct permitting experience in multiple markets
  • Fluency in COI requirements, fire marshal processes, and market-specific compliance
  • Hands-on experience specifying and managing power, rigging, AV, and lighting
  • Strong logistics competency, including load-ins, site surveys, and crew management
  • Experience leading coordinators, PAs, and crew and holding them accountable
  • Strong budget management skills, including building budgets from scratch, real-time tracking, reconciliation, and vendor negotiation
  • Comfort managing client relationships independently onsite and during pre-production
  • Self-starter with strong organizational and time management skills
  • Comfortable in a remote, fast-paced environment
  • Growth mindset, exceptional communication skills, and ability to navigate ambiguity and solve problems under pressure
  • Proficiency in Excel, PowerPoint, Google Suite, Asana or similar tools, and Slack
