About the role

Key responsibilities & impact
  • Manage complex calendars and inboxes for multiple Clinical Executives
  • Prioritize requests and correspondence, resolve conflicts, and coordinate meetings
  • Book travel using CWT and submit accurate expense reports in Concur
  • Coordinate virtual and onsite meetings, including venues, setup, catering, and AV
  • Prepare agendas and materials, capture minutes, and track action items
  • Host ad hoc and recurring calls and manage Microsoft Teams features
  • Draft correspondence, reports, and PowerPoint presentations
  • Route external materials for review and approval
  • Serve as point of contact for internal team members, matrix partners, clients, brokers, providers, and other stakeholders
  • Field, triage, and redirect inquiries on behalf of Clinical Executives
  • Compile, track, and report departmental data
  • Maintain SharePoint and Teams sites, files, and distribution lists
  • Process purchase requests and invoices and support budget tracking
  • Coordinate executive equipment, supplies, connectivity, IT setup, issue resolution, onboarding, and offboarding
  • Provide backup coverage for peer administrative assistants
  • Coordinate team recognition, celebrations, and events
  • Perform other assigned duties and projects

Requirements

What you’ll need
  • High school diploma required
  • 3+ years of administrative professional experience
  • Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, OneNote)
  • Strong written communication skills and exceptional attention to detail
  • Sound judgment and problem-solving skills for independent day-to-day decisions
  • Demonstrated discretion handling confidential and sensitive information, including PHI
  • Ability to prioritize and manage competing demands in a fast-paced environment
  • Collaborative communication with Clinical Executives, team members, matrix partners, and external stakeholders
  • Ideal candidate will reside in the Mountain or Pacific time zone
  • Preferred experience with SharePoint, Concur, Slido, Microsoft Planner, and Copilot
  • Home internet through cable broadband or fiber optic service with at least 10 Mbps download and 5 Mbps upload
