About the role
Key responsibilities & impact- Provide executive and administrative support to leaders
- Manage complex scheduling requests across multiple leadership levels
- Maintain calendaring systems and improve administrative efficiency
- Make scheduling decisions based on changing priorities and organizational needs
- Handle travel arrangements and prepare, reconcile, and submit expense reports
- Lead department meetings, including scheduling, logistics, technology support, and execution
- Coordinate in-person and Microsoft Teams meeting logistics
- Manage virtual engagement tools, post-meeting surveys, and survey-result communications
- Support internal communications, organizational announcements, leadership communications, town halls, and operational updates
- Publish and maintain organizational charts
- Maintain distribution lists and communication resources
- Coordinate onboarding activities for new employees
- Collaborate with administrative, technology support, communications, travel, real estate, and workplace services teams
- Provide backup support to other administrative professionals
- Manage department space planning with the Real Estate team
- Order equipment and supplies through approved procurement systems
- Support vendor payments, invoice tracking, and approvals
- Process travel and expenses as a Concur delegate
- Support departmental projects, reporting, and operational initiatives
Requirements
What you’ll need- High School Diploma or GED required
- 5+ years of progressively responsible administrative support, executive assistant, project coordination, or related experience
- Ability to work independently while maintaining confidentiality and exercising sound judgment
- Exceptional organizational and prioritization skills
- Strong verbal and written communication skills
- Experience managing complex executive calendars and coordinating meetings across multiple teams and organizational levels
- Proficiency with Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel
- Experience utilizing Microsoft Teams and other collaboration technologies
- Ability to build effective relationships and collaborate across a highly matrixed organization
- Technical aptitude and ability to troubleshoot technology issues with support teams
- If working from home, cable broadband or fiber optic internet with at least 10 Mbps download/5 Mbps upload
- Associate's or Bachelor's degree preferred
- Preferred: experience supporting technology organizations, transformation initiatives, or large-scale business operations
- Preferred: experience with Concur expense management systems
- Preferred: experience with SharePoint administration and content management
- Preferred: experience supporting senior leadership in a corporate environment
