About the role

Key responsibilities & impact
  • Provide comprehensive administrative, operational, and business support to non-invasive cardiovascular medicine faculty
  • Support daily business functions for twelve faculty members
  • Maintain clinical assignments in QGenda, IHIS, and Outlook
  • Coordinate physician leave, clinic openings, and clinic closures
  • Prepare and submit physician expense reports
  • Coordinate business travel and related documentation
  • Support faculty and staff onboarding, offboarding, and transitions
  • Coordinate calendars and facilitate communications
  • Organize meetings, conferences, workshops, and special events
  • Prepare and distribute agendas, materials, and follow-up communications
  • Support facilities and space-related needs for heart failure faculty and staff
  • Lead creation and management of division clinical and call schedules
  • Communicate with physicians about schedules, locations, issues, and concerns
  • Manage urgent or special-request patient scheduling and priority scheduling projects
  • Monitor template changes, access availability, and scheduling metrics
  • Provide administrative support and project work for non-invasive cardiologists
  • Coordinate daily financial, human resources, outreach, marketing, facilities, and space activities
  • Implement, evaluate, and modify administrative policies and procedures
  • Research and compile information for departmental reports and strategic planning
  • Act as travel, eRequest, and Human Resources Action initiator
  • Serve as liaison with university offices, faculty, staff, and outside agencies

Requirements

What you’ll need
  • Successful completion of a background check required for final candidates
  • Drug screen or physical may be required during the post-offer process
  • Ability to utilize scheduling/template software and maintain clinical schedules
  • Ability to coordinate clinical scheduling, faculty support, financial transactions, human resources processes, facilities and space needs, communications, travel, and event logistics
  • Ability to prepare expense reports within required deadlines
  • Ability to coordinate business travel and submit spend authorizations and travel documentation
  • Ability to support faculty and staff onboarding, offboarding, and transitions
  • Ability to manage calendars and organize meetings, conferences, workshops, and special events
  • Ability to research, collect, and compile information for complex departmental reports
  • Ability to serve as a liaison with university offices, faculty, staff, and outside agencies
