About the role

Key responsibilities & impact
  • Provide proactive administrative support to senior leadership and clinical leaders
  • Manage complex calendars, meetings and competing priorities
  • Coordinate national and international travel, including itineraries, accommodation and supporting documentation
  • Organize internal and external meetings, conferences, congresses and company events
  • Coordinate meetings and activities involving pharmaceutical companies, sponsors, investigators, hospitals and other external partners
  • Prepare and manage expense reports, corporate card expenses, invoices and related documentation
  • Support Principal Investigators/Oncologists with advisory boards, conferences, speaking engagements and other professional activities
  • Act as a key point of contact between clinics, departments, leadership and external stakeholders
  • Maintain accurate electronic files, trackers, records and administrative documentation
  • Anticipate scheduling conflicts and changing priorities, ensuring effective communication with all stakeholders
  • Handle confidential and sensitive information with a high level of professionalism and discretion

Requirements

What you’ll need
  • Bachelor's degree
  • At least 3 years of relevant administrative experience
  • Previous experience supporting senior executives and working with different levels of an organization
  • Fluent English and Spanish, both written and spoken
  • Strong organizational skills and excellent attention to detail
  • Experience coordinating international travel, meetings, conferences or large professional events
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Proactive, independent and solution-oriented approach
  • Excellent communication and interpersonal skills
  • High level of discretion when dealing with confidential information
