About the role
Key responsibilities & impact- Pack and ship booth kits, signage, collateral, and swag to conferences and events
- Build and maintain tracking for materials shipped to each event, returned materials, and condition, including overlapping events sharing materials
- Maintain running inventory of event materials and swag
- Flag low stock early enough to reorder
- Log damaged or missing items and recommend replacements
- Coordinate shipping deadlines with venues, advance warehouses, and carriers including FedEx, UPS, and freight providers
- Unpack, inspect, and restock returned materials after events
- Support the CEO at local Austin events through booth setup and teardown, check-in, materials management, and event readiness
- Coordinate with the events team on upcoming shows, timelines, and changes
- Anticipate event needs proactively
Requirements
What you’ll need- Exceptionally organized and detail-oriented
- Anticipates needs and flags issues proactively
- Strong communicator who keeps the team updated on shipment status, inventory levels, and issues
- Comfortable in Google Sheets or Excel, or eager to become comfortable
- Able to juggle multiple deadlines and shipments simultaneously
- Able to lift up to 40–50 lbs and stand for extended periods
- Reliable, with own transportation to the warehouse and local Austin events
- Weekend and evening availability required for local events
- Preferred: experience in shipping and receiving, inventory, retail stockroom, or event and trade show logistics
- Preferred: previous experience in a fast-paced startup environment
- Preferred: work experience in DTC health/wellness companies
- Preferred: experience working remotely, with proficiency in Slack
- Preferred: self-directed, proactive, and comfortable with ambiguity
