About the role

Key responsibilities & impact
  • Oversee administration of clinical field assessments, including site recruitment, assessor/candidate liaison, and program delivery
  • Coordinate meetings with subject matter experts, collaborators, and project committees
  • Develop meeting materials and organize meeting logistics
  • Coordinate with internal departments to deliver successful programming
  • Act as a key contact for the Practice Ready Ontario Clinical Field Assessment, Candidate Orientation, and Multiple Mini Interviews
  • Update the Manager on issues affecting timelines and candidate or assessor experience
  • Collaborate with subject matter experts, consultants, assessors, clinic/hospital administrators, HR departments, and casual staff
  • Draft and coordinate policies, standard operating procedures, and process documents
  • Review and improve processes and research operational solutions
  • Liaise with internal departments and external vendors
  • Produce reports evaluating program and participant progress and success
  • Support User Acceptance Testing for the PRO IT portal
  • Track candidate progress using registration and clinical assessment software
  • Communicate with applicants and assessors regarding application status and assessment planning/delivery
  • Coordinate reporting for clients, funders, and stakeholders
  • Input post-program information into internal databases
  • Maintain program policies

Requirements

What you’ll need
  • Advanced knowledge of Microsoft Office Suite
  • Knowledge of Project Management principles and tools
  • Knowledge of and experience with Learning Management Systems an asset
  • Project coordination skills to lead, develop, plan, implement, and evaluate projects
  • High level of customer service and culturally sensitive stakeholder communication
  • Strong oral communication skills
  • Advanced written communication skills
  • Well-developed critical thinking skills
  • Ability to independently prioritize tasks and set goals
  • Ability to process multiple types of information and perform multiple tasks simultaneously
  • University degree or college diploma in education, health sciences or a related field
  • Minimum 2-3 years’ experience in a project coordination role
  • Experience working with healthcare organizations is an asset
  • Bilingualism (English and French) is an asset
