About the role
Key responsibilities & impact- Distribute audit request packets to insureds and agents.
- Manage audit timelines and follow-up schedules.
- Conduct second and final audit requests when initial responses are not received.
- Monitor outstanding audit requests and escalate non-responsive accounts.
- Maintain follow-up dates and task reminders in audit management systems.
- Monitor and manage department audit inboxes.
- Respond to insureds, agents, payroll providers, and internal departments.
- Route inquiries to Accounting, Underwriting, or Audit Management.
- Answer and direct Audit Department phone calls.
- Contact insureds to request documentation, clarify information, or answer audit-related questions.
- Document inbound and outbound communications.
- Maintain organized electronic records and correspondence.
- Review payroll documentation, tax records, subcontractor information, and operational descriptions.
- Identify missing, incomplete, or inconsistent documentation.
- Request additional information from insureds.
- Track records received and maintain audit status notes.
- Prepare audit files for auditor assignment.
- Create progress notes documenting audit activity.
- Upload, organize, and classify audit documents.
- Verify policy information, locations, class codes, FEIN data, and supporting documentation.
- Maintain accurate records for audit readiness and compliance.
- Assist with status updates and workflow management across multiple systems.
- Prioritize older and time-sensitive audits.
- Manage workloads according to quality and timeliness standards.
- Follow procedures for follow-ups, due dates, extensions, and non-productive audit processing.
- Collaborate with auditors, management, and team members to complete audits efficiently.
Requirements
What you’ll need- High school diploma or equivalent.
- Minimum one year of administrative, insurance, auditing, customer service, or office support experience.
- Strong written and verbal communication skills.
- Exceptional organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and deadlines simultaneously.
- Proficiency with Microsoft Outlook, Excel, Word, and other Microsoft Office applications.
- Ability to compose professional business correspondence.
- Preferred: Experience in insurance, premium audit, workers’ compensation, underwriting, or claims operations.
- Preferred: Familiarity with payroll records, tax documentation, and financial records.
- Preferred: Experience working in workflow-based production environments.
- Preferred: Knowledge of audit, underwriting, or policy administration systems.
