About the role
Key responsibilities & impact- Open and close the office and keep conference rooms, kitchen and common areas ready
- Cover reception, greet visitors, manage building access, and handle mail, packages and shipments
- Perform copying, scanning and data entry, and route documents for approval per TOCE guidelines
- Submit maintenance and service requests, and assist with office moves and workplace projects
- Support EHS&S with safety audits, PPE disbursement, and emergency and continuity procedures
- Provide in-office backup coverage for the Director, Office and Administration
- Book employee travel in Treaty Oak’s travel platform and answer routine travel questions
- Schedule meetings, interviews and rooms, and support executives with calendars and expenses
- Order office and kitchen supplies within budget and coordinate vendor deliveries and service
- Collect, code and submit invoices and receipts, and help track office spend against budget
- Maintain files, vendor and incident records, office procedures and IT equipment inventory
- Support HR and IT with interview logistics, onboarding, offboarding and workspace setup
- Support company events, offsites and culture initiatives, including the VIBE committee
Requirements
What you’ll need- High School diploma required; Associate’s or Bachelor’s preferred, or equivalent experience
- 1+ years of experience in administrative support, office coordination, reception or a similar role
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), DocuSign, Acrobat Pro
- Detail-oriented, organized and discreet, with strong written and verbal communication skills
- Professional, service-oriented approach to supporting employees and visitors
- Proactive problem-solving skills and the ability to work independently and as part of a team
- Ability to perform local travel around Austin, TX, up to 5% of the month, for office errands
