About the role

Key responsibilities & impact
  • Provide advanced administrative support to operations, administration, and management for commercial real estate projects
  • Support program managers, project directors, project managers, project controls personnel, estimators, and technical teams
  • Coordinate schedules and maintain project and program documentation
  • Track action items and support reporting activities
  • Support project management for budgets, schedules, procurement, quality, and risk across commercial real estate projects
  • Maintain project files, records, correspondence, repositories, document libraries, and records management systems
  • Ensure project data integrity, document accuracy, version control, reviews, approvals, and distribution
  • Coordinate meetings, workshops, briefings, stakeholder engagements, and site visits
  • Prepare agendas, capture minutes, and track action items through completion
  • Assist with team-member onboarding and distribution lists
  • Track project progress against goals, budgets, and timelines; report status and variances
  • Assist with action plans and delivery schedules
  • Coordinate with program controls, delivery teams, and the Delivery Director on resources and delivery
  • Facilitate communication across projects and program domains
  • Support executive presentations and briefing materials
  • Ensure compliance with documentation standards, account governance, and applicable SOX controls
  • Perform other duties as assigned

Requirements

What you’ll need
  • Currently authorized to work in the United States without visa sponsorship now or in the future
  • Bachelor's degree preferred, or equivalent combination of experience and education
  • 2+ years of relevant experience
  • At least 2 years of experience in construction project management
  • Experience supporting large-scale infrastructure projects preferred
  • Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Word, Outlook, and Teams
  • Experience with Kahua is a plus
  • Experience preparing reports, meeting minutes, and executive-level presentations
  • Ability to manage multiple priorities with minimal supervision
  • Previous AEC experience preferred, including construction project management, owner's representative, or commercial project management experience
  • Familiarity with project management methodologies and best practices
  • Ability to read and understand architectural drawings
  • Knowledge of leases, contracts, and construction practices helpful
  • Ability to analyze possible solutions using technical experience and appropriate judgment
  • Strong interpersonal skills and inquisitive mentality
