About the role

Key responsibilities & impact
  • Provide basic administrative support to the project management team
  • Prepare project documentation and process project commitments
  • Acquire external quotes and coordinate change orders, change directives, and change notices
  • Schedule project meetings and communication plans among teams and clients
  • Assist with contract administration, including attending tender openings and recording results
  • Issue letters of acceptance and regret
  • Enter project information and data into project management technology tools
  • Process invoices and pay applications
  • Assist with project administration deliverables and project closeout, including turnover documentation and financial reconciliation
  • Coordinate new AV hardware installations for corporate offices and conference rooms
  • Develop and update resources and vendor documentation
  • Identify needed resources and vendors to refine support processes
  • Collaborate with Architects, MEPs, contractors, and vendors on project execution
  • Prepare RFPs and provide SOWs for contractors and vendors
  • Manage day-to-day operational aspects of projects and monitor and report progress to the project manager
  • Document on-site activities and ensure project documents are complete, current, and appropriately stored
  • Serve as technical liaison between clients and IT units, providing timely face-to-face support

Requirements

What you’ll need
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
  • High School Diploma or GED
  • Up to 2 years of job-related experience
  • Experience with Audio Visual and/or IT hardware installation projects
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and MS Project
  • Strong organizational skills with an inquisitive mentality
