About the role
Key responsibilities & impact- Own Ubiquity's client onboarding experience from signed agreement through live plan
- Lead and develop the New Plan and Conversion Team Leads
- Hire as the team scales and build a culture of ownership, accuracy, and customer care
- Manage the onboarding pipeline, timelines, quality, and SLAs
- Handle complex or escalated onboarding cases
- Design and document onboarding and conversion workflows and SOPs
- Establish training so specialists can manage new plan setups and conversions
- Partner with Product and Engineering to convert frontline patterns into requirements and test and roll out new tools
- Track KPIs including time to live, accuracy, pipeline health, and customer satisfaction
- Use data to guide staffing and process decisions
- Forecast capacity against the sales pipeline and seasonal peaks
- Partner with Sales, Client Experience, Compliance, Payroll, and other teams to resolve onboarding friction at its source
Requirements
What you’ll need- 5+ years in fintech, financial services, or a closely related regulated environment
- 3+ years leading a team working directly with end customers on high-stakes, detail-heavy work such as onboarding, implementation, account setup, or money movement
- Track record of building a team or function from scratch, writing documentation, creating structure, and building training programs
- Hands-on experience partnering with in-house Product and Engineering teams to define, test, and adopt internal tools or workflow automation
- Measurable results such as faster cycle times, lower error rates, higher customer satisfaction, or successful team scaling
- Strong analytical skills and precision under pressure
- Ability to use data to evaluate performance and capacity and balance speed and accuracy where money and compliance are involved
- Clear communication skills and ability to explain complex topics simply and present to senior leaders
- Proficiency with Salesforce or comparable CRM/workflow platforms and Microsoft Office
- Bachelor's degree or equivalent experience
- 401(k) experience strongly preferred but not required
- Familiarity with plan documents, payroll integrations, or asset transfers between providers
- Experience at a company serving small businesses
- Background in Lean, Six Sigma, workflow, or case management tools
- Experience using AI or automation to scale an operations team
