About the role

Key responsibilities & impact
  • Organize workload and execution by implementing tracking measures
  • Prepare legal documents according to the professional’s instructions
  • Prepare confidential letters and memoranda
  • Transcribe information from the supervisor’s dictation
  • Act as a liaison between the professional and a variety of individuals, groups, and internal and external clients at all levels
  • Handle routine correspondence
  • Manage the reminder database system
  • Manage the calendar
  • Prepare special reports, including data collection and summaries
  • Demonstrate initiative and sound judgment to reduce the professional’s administrative workload
  • Create, monitor, and maintain client files
  • Coordinate administrative tasks, including accounting, file opening and closing, time entry, and billing
  • Perform any other duties as required

Requirements

What you’ll need
  • Minimum of 3 years of experience as a legal assistant
  • Experience in real estate law and/or finance is a strong asset
  • Bilingualism required, with proficiency in both spoken and written French and English
  • Excellent communication skills when working with other members of the firm
  • Ability to meet clients’ needs in a professional and courteous manner
  • Ability to work from dictation
  • Discretion and sound judgment when handling confidential information
  • Ability to work independently and as part of a team
  • Ability to manage a high volume of work while maintaining a high level of quality, sometimes under tight deadlines
  • Ability to prioritize and reprioritize tasks as needed
  • Ability to manage stress professionally
  • Knowledge of Microsoft Office Suite
