About the role

Key responsibilities & impact
  • Support nursing management with day-to-day coordination of staffing needs for patient care areas
  • Identify daily staffing needs and changes and communicate them to appropriate individuals
  • Enter and manage data in the electronic scheduling system
  • Manage daily operations related to the scheduling system
  • Maintain time and attendance records
  • Process weekly payroll and make manual payroll-sheet edits
  • Communicate with the Payroll department
  • Identify staffing needs and confer with managers throughout the day
  • Enter new hires and personnel data into the Controller and Scheduler
  • Update monthly and daily schedules and print staffing and sign-in sheets
  • Compile daily staffing information and discuss it with managers or directors
  • Participate in daily Patient Flow bed-meeting huddles
  • Call to fill staffing needs and validate constant-observation needs
  • Identify overtime staffing and participate in expense reduction
  • Maintain staffing allocations and needs based on patient volume, acuity, and budgetary goals
  • Coordinate payroll data entry and completion of automated time cards and PeopleSoft sheets
  • Function as a superuser of the automated scheduling system
  • Compile productivity, attendance, and overtime reports
  • Distribute reports to Finance and the Chief Nursing Officer
  • Train new nurse managers, nursing supervisors, and administrative assistants on the scheduling system
  • Validate schedule accuracy and provide daily staffing reports to off-shift nursing supervisors
  • Comply with departmental policies, quality-improvement practices, health and safety regulations, and standards of respect
  • Attend required meetings, conferences, and seminars
  • Perform other related duties as required or directed

Requirements

What you’ll need
  • High school diploma or equivalent
  • Knowledge of basic medical terminology
  • Strong organizational skills and attention to detail
  • Strong follow up skills
  • Strong interpersonal and communication skills
  • Ability to build and maintain positive working relationships
  • Basic knowledge of MS Office applications and ability to learn new software programs rapidly
  • Knowledge of automated scheduling systems
  • Ability to read, write and speak clearly in English
  • Regular, reliable, and predictable attendance
  • Preferred: Minimum three (3) years of staffing experience in a healthcare organization
  • Ability to perform the stated physical demands, including sitting, standing, walking, bending, reaching, grasping, precise motor skills, hearing, vision, and lifting/carrying/pulling/pushing 0–20 pounds
