About the role

Key responsibilities & impact
  • Support two senior leaders across Talent Acquisition, Workplace Experience, and Compensation
  • Serve as a strategic partner and first line of communication for executives
  • Coordinate with executives, recruiting operations, candidates, fellow assistants, employees, vendors, and clients
  • Coordinate across global time zones, manage priorities, and streamline meetings and communications
  • Own complex, high-volume calendars and resolve conflicts
  • Set agendas and organize team Town Halls
  • Prepare leaders for meetings with minimal direction
  • Arrange and optimize complex global travel logistics, including flights, routes, hotels, and ground transport
  • Collect business-related receipts and submit expense reports
  • Plan, coordinate, and oversee logistics and budgets for team off-sites and special events
  • Track tasks, deadlines, and action items; anticipate needs and surface risks
  • Review and edit documents, presentations, and spreadsheets
  • Report to Unity's Manager, Executive Assistant

Requirements

What you’ll need
  • 4+ years supporting senior executives in high-growth, fast-paced environments
  • Exceptional communication and relationship-building; proven cross-functional influence and alignment
  • Expert calendaring and priority management skills across global time zones
  • Advanced global travel coordination and end-to-end Travel and Expense management, including multi-country, multi-currency, and policy compliance
  • Event planning and logistics for on-sites/off-sites, including venues, vendors, AV, catering, and budgets
  • High integrity, discretion, and sound judgment with confidential information
  • Proactive, organized, and deadline-driven; thrives in ambiguity and team settings
  • Proficiency in Google Workspace and Microsoft Office
  • Comfortable with Slack, Workday, and expense platforms; quick to learn new tools
  • Advanced proficiency in Google Workspace, Microsoft Office, Slack, and Workday
  • Experience with complex multi-country expense reports
  • Experience using Claude or Gemini to optimize tasks
  • Proven ability to create or improve administrative processes and drive cross-functional initiatives and goal alignment
  • Experience supporting multiple executives and managing meetings across time zones
  • Comfortable working outside the local time zone when needed
  • Experience organizing team social events
  • Sufficient knowledge of English for professional verbal and written exchanges
