About the role
Key responsibilities & impact- Provide high-level administrative support to the executive team
- Manage calendars, travel logistics, and meeting coordination across multiple time zones
- Maintain an organized, professional, and well-supplied office environment
- Manage office vendors, building operations, equipment, snacks, mail, and general facility needs
- Support employee onboarding and offboarding through equipment ordering and setup
- Help evolve internal office and business operations processes and technology support
- Plan and coordinate company events, including team meals, celebrations, offsites, All Hands, leadership retreats, board meetings, and holiday events
- Manage event calendars, logistics, and day-of execution
- Manage and procure company swag, business cards, new-hire welcome packages, employee gifts, and recognition items
- Source, evaluate, and manage vendors across photography, website design, event support, and other services
- Cultivate a positive office culture through events, recognition, and monitoring office morale
Requirements
What you’ll need- Proven experience in office management, operations, executive assistance, or similar administrative roles
- Excellent time management, attention to detail, organizational, and multitasking skills
- Ability to shift priorities without losing attention to detail
- Ability to work independently, maintain confidentiality, and operate with discretion when supporting executives
- Proficiency with common office software such as Microsoft Office Suite
- High reliability and timely execution, especially around onboarding, calendar upkeep, event planning, and office operations
- Excellent written and verbal communication skills
- Professional interaction with internal stakeholders, vendors, and board members
- People-centric mindset
- Legally authorized to work in the United States
