About the role

Key responsibilities & impact
  • Provide personalized administrative support for multiple Executive Leadership Team and/or Senior Leadership Team members
  • Manage calendars, invitations, conflicts, deadlines, and working time
  • Schedule and manage meetings, responses, agendas, participants, and minutes
  • Coordinate corporate-sponsored, industry, and internal events, including travel, rooms, registration, and speaking engagements
  • Manage expense reports and invoice approvals in accordance with policies and deadlines
  • Book and manage airfare, hotels, ground transportation, and dining reservations
  • Develop, proofread, distribute, and maintain presentations and reports
  • Process and route email, US mail, packages, correspondence, and action items
  • Support committees, attend meetings, take minutes, report action items, and maintain corporate records
  • Onboard assigned new leaders, including access, equipment, corporate credit cards, facilities access, and first-week meetings
  • Maintain strict confidentiality
  • Prioritize email, mail, voicemail, meetings, and workflow activities
  • Communicate professionally with executives, employees, business partners, subsidiaries, vendors, and consultants
  • Provide backup support for assigned Executive Administrators
  • Identify process improvements, coordinate implementation, and measure success

Requirements

What you’ll need
  • Associate degree or five (5) years of administrative/operational support to managers, directors, and/or executives required
  • Three (3) years of experience as an Executive Assistant required or 5+ years as an administrative assistant or combination of years required
  • Experience supporting the Sales organization is highly preferred
  • Expert in Microsoft application suite, including Outlook, Excel, Word, and PowerPoint
  • Superior communication skills necessary to comprehend and compile communication on behalf of the leader
  • Ability to interact and communicate effectively with all levels of internal staff, vendors, and clients
  • Proficient in clear and effective business writing techniques
  • Proven ability to adapt to change and reprioritize quickly
  • Strong organizational skills to handle multiple priorities with urgency
  • Strong interpersonal and relationship-building skills
  • Ability to work under general direction with minimal guidance while producing accurate, quality results
  • Proven ability to handle confidential information with discretion
  • Ability to work effectively in a high-pressure, fast-paced environment
  • Superior problem-solving skills and ability to anticipate and resolve issues
  • Ability to work independently and as part of a functional team
  • May be required to work after normal working hours for urgent requests
  • Travel may be required to support on-site or off-site events
