Executive Assistant

About the role
Key responsibilities & impact- Provide administrative and teaching support for faculty and academic programs under the Vice Dean for Faculty
- Liaise with students, faculty, staff, trustees, alumni, and outside organizations
- Draft, proofread, edit, copy, and distribute reports, policies, manuals, instructional materials, publications, handbooks, correspondence, and other materials
- Maintain faculty lists and update the faculty directory on the VLGS website
- Provide course support, including ExamSoft and exam proctoring
- Support the instructional budget through record keeping, expense documentation, and reimbursements
- Support faculty retreats, orientation, meetings, and committees
- Assist with meeting logistics, agendas, information gathering, minutes, communications, and committee follow-up
- Coordinate the school’s course evaluation process
- Make travel arrangements and maintain travel-related expense reports
- Answer phones and emails, greet visitors, answer questions, take messages, and make appointments
- Maintain manual and computerized files and records
- Open, screen, and distribute mail
- Provide backup support to executive assistants and Faculty Support personnel
- Design and maintain filing systems and other processes
- Complete other duties and special projects as assigned
Requirements
What you’ll need- Associate’s degree in an appropriate discipline, or a combination of education and experience from which comparable knowledge and skills are acquired
- Two or more years of executive-level support or office management experience
- Four or more years of comparable relevant administrative experience
- Ability to use discretion in handling confidential information
- Knowledge of higher education administration or legal office procedures preferred
- Excellent planning, organizational, and interpersonal communication skills
- Ability to work independently and as an engaged member of the Deans' Office team
- Good time management, planning, administrative, and organizational skills
- Good writing and math skills
- Strong intercommunication skills and ability to interact courteously and efficiently with a wide variety of individuals
- Proficiency with Microsoft Office Suite, database programs, internet search engines, and websites
- Ability and flexibility to learn, adapt to, and master new technologies and systems
- Experience with complex filing systems
- Ability and willingness to speak publicly at small and large group gatherings, online and in-person
- Ability to prioritize and manage multiple tasks and deadlines and reorganize under pressure
- Ability to maintain professional demeanor in stressful situations
- Must be able to work legally within the United States without sponsorship
- Ability to perform all essential functions with or without basic accommodations
