About the role

Key responsibilities & impact
  • Provide comprehensive administrative support to senior leadership within the Spend Management Business Unit
  • Support senior executives and manage daily operations to maximize efficiency, effectiveness, and impact
  • Serve as a key point of contact between leadership and internal and external stakeholders
  • Handle complex and high-visibility assignments requiring discretion, sound judgment, problem solving, and timely execution
  • Manage complex calendars, travel, meetings, and scheduling conflicts
  • Prepare and submit expenses and review direct report expenses for policy adherence
  • Manage communication flow, respond to inquiries, and foster stakeholder relationships
  • Coordinate meeting logistics and changes across multiple teams
  • Prepare and distribute correspondence, agendas, reports, and presentation materials
  • Partner with executives to solve problems and navigate competing priorities
  • Identify process inefficiencies and implement improvements
  • Support onboarding and training of administrative staff
  • Provide backup support to peers and contribute to team efficiency
  • Support team culture and employee engagement initiatives and events
  • Support executive engagement in AI initiatives by coordinating meetings, tracking follow-ups, organizing materials, and facilitating communication

Requirements

What you’ll need
  • Relevant degree preferred
  • 5 or more years of experience supporting senior executives in a complex, fast-paced environment required
  • Proficiency in Microsoft Word, Excel, and PowerPoint required
  • Strong project management and organizational skills; ability to manage multiple priorities with precision
  • Excellent written and verbal communication skills
  • Professional presence with a proactive, solutions-oriented mindset
  • Strong attention to detail and ability to anticipate needs
  • Experience coordinating small and large meetings and events
  • Demonstrated ability to handle sensitive information with discretion
  • Self-directed, resourceful, and results-oriented
  • Strong collaboration skills and emotional intelligence; ability to build trust and partnerships across teams
  • Willingness to travel
