About the role
Key responsibilities & impact- Support production members of the Seniors Housing Investment Sales team with transaction management of seniors housing assets
- Conduct transaction coordination and due diligence coordination
- Maintain files and ensure mandatory disclosures are completed and sent for review and approval
- Contact interested parties regarding missing documents
- Maintain a quality-controlled system for managing steps required to close deals
- Monitor sales progress, deadlines, and release of contingencies
- Create, design, format, edit, and quality-control institutional-quality investment sales marketing materials, including OMs, BOVs, pitch books, presentations, email marketing materials, and client-facing collateral
- Coordinate with investment sales professionals, analysts, and internal resources to incorporate transaction, property, and financial information into marketing materials
- Prepare initial drafts of listing and engagement agreements from approved templates or coordinate their preparation with internal departments
- Prepare, distribute, track, and maintain records for non-disclosure agreements
- Maintain and update Salesforce, including contacts, companies, opportunities, transaction activity, buyer outreach, and CRM information
- Maintain buyer and prospect lists and assist with marketing campaign execution and tracking
- Manage the investment sales professional’s calendar and schedule meetings, calls, Zoom meetings, conferences, and appointments
- Coordinate business travel arrangements
- Prepare and process expense reports and reimbursement documentation
- Perform other duties as assigned
- Work generally 8:30 am–5:30 pm local time, Monday through Friday
Requirements
What you’ll need- Bachelor’s degree (Finance and/or Real Estate concentration preferred) or equivalent experience
- 5+ years of experience in Finance, Real Estate, or related field
- Strong proficiency in MS Outlook, Excel, PowerPoint, Adobe Acrobat, and Word
- Ability to learn Salesforce and other company software as needed
- Strong proofreading, calendar management, scheduling, and project-management skills
- Client relationship management skills
- Proficiency in Adobe InDesign and Adobe Illustrator preferred
- Demonstrated graphic design, document-layout, and production capabilities
- Excellent attention to detail and organizational skills
- Ability to handle multiple tasks accurately and productively during time-sensitive situations
- Ability and willingness to work extended hours or weekends when appropriate
- Advanced written and oral communication skills
- Ability to show ownership of work, take on challenges, acknowledge growth opportunities, and demonstrate patience when learning new processes
- Courtesy, respect, and thoughtfulness when working with colleagues and stakeholders
- Remote candidates must be located in California
