About the role

Key responsibilities & impact
  • Manage and coordinate all aspects of assigned graduate programs
  • Provide oversight to Program Directors and faculty to ensure students reach milestones on time
  • Interpret and articulate program, DBBS, and University policies and guidelines
  • Oversee student progress through recruitment, admissions, onboarding, advising, lab rotations, thesis lab selection, qualifying exams, thesis committee coordination, thesis defense, and graduation
  • Serve as a trusted representative and resource for graduate students
  • Identify support services and coordinate with WashU offices for students facing academic, professional, or personal challenges
  • Plan and manage recruitment visits, incoming-class orientation, overnight retreats, and special events
  • Administer financial contracts for retreats and events with compliance and cost-effectiveness
  • Oversee the annual program budget
  • Maintain accurate student and alumni records in databases and WashU systems
  • Ensure FERPA compliance and confidentiality of official student records
  • Ensure academic policies and procedures are followed
  • Perform other duties as assigned to support program goals and operations

Requirements

What you’ll need
  • High school diploma or equivalent high school certification or combination of education and/or experience
  • 3 years of administrative work experience
  • No specific certification/professional license is required
  • Bachelor’s degree preferred
  • Ability to perform essential functions of the position satisfactorily
  • Successful completion of required pre-employment screening for external candidates receiving an offer
