About the role

Key responsibilities & impact
  • Perform pre-award duties according to proposal guidelines and terms and conditions
  • Work with faculty on proposal preparation and submission
  • Manage proposal budgets, analyses, and justifications
  • Gather protocol information and non-technical proposal components
  • Liaise between the Chair, Faculty, and Department Administrators
  • Monitor federal and university research administration developments and regulations
  • Coordinate submissions, prepare budgets, and obtain pricing quotes
  • Compile regulatory compliance data and submit complete grants
  • Prepare and review agency forms and enter grant budgeting documents
  • Obtain PI and institutional signatures
  • Initiate subaward setup through the SUBS system and coordinate with Post-award and OSRS
  • Provide internal notices of award and monitor annual agency reports
  • Coordinate revised budgets and transfers of grants and contracts into Wash U
  • Coordinate responses to grant-related information requests
  • Track grants in an online database
  • Close sponsored project accounts and submit final reports and invention statements
  • Assist with post-award activities, budget monitoring, expenditures, reconciliation, purchasing guidance, financial reporting, and troubleshooting
  • Assist Department Administrators with fund reconciliation, spending levels, overdrafts, and cost sharing
  • Assist senior leadership with special projects and perform other assigned duties

Requirements

What you’ll need
  • Bachelor’s degree or combination of education and/or experience may substitute for minimum education
  • 2 years of relevant experience
  • Knowledge of RMS (Research Management System) and SUBS
  • Knowledge of agency guidelines
  • Ability to perform essential functions satisfactorily
  • Successful completion of required pre-employment screening
  • No specific certification/professional license required
  • Driver’s license is not required
