About the role

Key responsibilities & impact
  • Lead complex multi-funded clinical trial and research portfolios
  • Advise the Executive Committee on grant development and submission strategy
  • Oversee pre-award activities for complex proposals, including program projects, ARPA-H, and Multi-PI applications
  • Support faculty with proposal preparation and submission
  • Manage proposal budgets, analyses, justifications, protocols, and non-technical components
  • Liaise between the Chair, faculty, and Department Administrators
  • Monitor federal and university developments concerning research administration and complex regulations
  • Compile regulatory compliance data and submit complete grants according to agency and university guidelines
  • Prepare and review agency forms and obtain PI and institutional signatures
  • Oversee subaward setup through the SUBS system
  • Manage complex notices of award and identify special terms, conditions, and committed effort
  • Coordinate annual agency reports, including RPPRs
  • Coordinate support for grant-related compliance and information requests
  • Close complex sponsored project accounts and submit final reports and invention statements
  • Manage complex sponsored project budgets, expenditures, reconciliations, payroll sourcing, purchasing, and subawards
  • Process correspondence with granting agencies, including carry-forward, effort change, prior approval, no-cost extension, equipment purchase, and budget reallocation requests
  • Maintain communication with leadership on pre- and post-award activities
  • Track grants in an online database
  • Prepare and discuss monthly financial reports with PIs and senior leadership
  • Assist with reconciliation, spending monitoring, overdrafts, cost sharing, and budget adjustments
  • Coordinate transfers of PI grants and contracts to new institutions or departments
  • Prepare invoices when applicable and track sponsor payments
  • Train staff, maintain efficient workflows, assist with special projects, and perform other duties as assigned

Requirements

What you’ll need
  • Bachelor’s degree or combination of education and/or experience may substitute for minimum education
  • 4 years of relevant experience
  • 2 years of grants administration experience
  • Knowledge of S2S and SUBS systems preferred
  • Knowledge of agency guidelines preferred
