About the role

Key responsibilities & impact
  • Accompany physicians and directly observe and document essential occurrences during patient encounters
  • Interact with patients to gather preliminary information for providers
  • Maintain accurate and timely documentation in patient clinical records according to regulatory requirements and department policies
  • Obtain Michigan Automated Prescription System reports at prescribers' request
  • Track annual evaluations and Abnormal Involuntary Movement completion dates
  • Apply current billing code guidelines to ensure accurate documentation and maximum reimbursement
  • Interact with pharmacies and laboratories to obtain results
  • Ensure patient lab results are promptly reviewed by physicians
  • Act as a liaison among patients, providers, staff, and healthcare facility departments
  • Coordinate patient care with collaborating organizations
  • Provide support, education, and on-the-job training for fellow clinical scribes
  • Track providers' appointment schedules and notify others of schedule changes
  • Notify patients and clinical staff at contracted locations of schedule adjustments
  • Cover for scribes who are out of the office
  • Receive patient questions and concerns for communication to physicians
  • Contact insurance companies regarding authorization for services and medications
  • Coordinate referrals and services based on provider requests
  • Obtain collateral information from families, friends, and outside providers
  • Track timelines for annual documentation, paperwork, AIMS tests, lab orders, and examinations
  • Perform order delegation on behalf of providers when assigned
  • Complete administrative tasks, letters, and patient paperwork
  • Post relevant clinical documents in patient records
  • Conduct peer reviews to maintain departmental quality standards
  • Stay familiar with current projects, services, and programs
  • Attend required meetings, training, and education
  • Perform other assigned work

Requirements

What you’ll need
  • At least 1-3 years of experience in a scribing, administrative assistant, or related field, with an emphasis in behavioral health
  • Bachelor's Degree in a related field (psychology, nursing, social work, etc.) preferred
  • Ability to learn clinical terminology and adapt to new situations easily
  • Ability to audibly read and summarize accurately prior visit information to provider
  • Ability to apply new skills and techniques taught on the job
  • Ability to collaborate with a team of other clinical scribes and within the department of clinicians, providers, and clerical staff
  • Ability to maintain confidentiality and HIPAA standards as required by federal, state, regulatory and Wayne Health policies
  • Ability to be flexible within the role
  • Ability to observe and draft a narrative account of events accurately and concisely, in grammatically-correct English
  • Ability to take direction and self-motivate
  • Strong attention to detail
  • Clear and loud speech
  • Ability to utilize telehealth modes such as Zoom and Microsoft Teams and assist patients with them
  • Skills in interviewing and eliciting information and cooperation from patients, preferred
