About the role

Key responsibilities & impact
  • Perform reception and administrative duties in an outpatient clinic
  • Interact with patients, guests, families, physicians, and clinical team members
  • Greet patients and guests by telephone and in person
  • Schedule appointments according to defined protocols
  • Explain appointment dates, arrival times, locations, and answer questions
  • Answer high-volume inbound calls and place outbound calls
  • Monitor voicemail, maintain records and files, and sort and distribute mail and facsimiles
  • Navigate multiple healthcare platforms and reference materials to assist patients
  • Complete patient check-in and check-out processes
  • Confirm patient identity, demographics, insurance, prior authorizations, physician referrals, and other required information
  • Collect co-payments, service fees, and past-due balances
  • Identify eligibility for self-pay, sliding fee scale discounts, grant funding, financial assistance, and budget plans; provide applications, review documentation, and enroll eligible patients
  • Post payments, process billing information, and complete end-of-day closing procedures
  • Prepare daily reconciliation and bank deposit forms
  • Provide courteous, timely customer service while maintaining privacy and confidentiality
  • Maintain safe and clean workspaces and patient waiting areas
  • Inform patients of appointment delays or changes
  • Follow quality, patient safety, benefits verification, pre-authorization, payment collection, and no-show procedures
  • Travel to other WSUPG clinic locations as needed
  • Perform other duties as assigned

Requirements

What you’ll need
  • High School Diploma or equivalent required
  • Minimum 2-3 years Medical Billing or Physician Office experience
  • EHR system experience required
  • Previous experience in a customer service position preferred
  • Previous experience with Nextgen or Athena systems preferred
  • Strong working knowledge of Microsoft Excel and Word
  • Knowledge of basic medical terminology
  • Basic office skills including typing 35 wpm and accurately entering alphanumeric data
  • High level of attention to detail
  • Excellent verbal and written communication and problem-solving skills
  • Ability to communicate sensitive financial information
  • Excellent interpersonal and customer service skills
  • Ability to multitask and work independently and with a team
  • Ability to deal with stressful situations while maintaining professionalism
  • Knowledge of medical insurance and medical office billing
  • Ability to sit for long periods and lift up to 50 pounds
  • Sensitivity when working with seriously ill patients and their families
  • Commitment to patient-centric, efficient healthcare delivery focused on quality, safety, and operational excellence
  • Compliance with departmental health and safety policies and procedures
  • Mandatory annual TB test based on department guidelines
  • Additional hours may be required based on business needs
