About the role

Key responsibilities & impact
  • Support the performance of less experienced Administrative Assistance staff and the overall effectiveness of the team
  • Compile information, prepare moderately complex reports, and balance routine general ledger lines or expense accounts
  • Perform complex administrative, transactional, operational, and customer support tasks
  • Provide professional administrative support, including planning meetings, tracking deliverables, and pulling routine reports
  • Selectively refer callers and answer questions regarding business unit policies and procedures
  • Provide subject matter expertise and interpret administrative procedures for less experienced staff
  • Provide administrative supervision and support to managers in reporting and customer or business documentation
  • Interact with the Administrative Assistant team, functional area, and internal peers regarding routine administrative tasks
  • Support experienced leaders with daily administrative tasks and interact with experienced leaders across the organization

Requirements

What you’ll need
  • 2+ years of Administrative Support experience, or equivalent demonstrated through one or a combination of: work experience, training, military experience, education
  • Experience within the Financial Services Industry
  • Ability to manage changing travel itineraries, schedule events, assist with internal and external presentations, accurately manage expense reimbursement, manage a busy calendar and appointments flawlessly
  • Experience with on-boarding new hires
  • Ability to manage logistics for offsites and/or business operations related events
  • Ability to follow policies, procedures, and regulations
  • Ability to handle confidential material in a professional manner
  • Advanced Microsoft Office (Word, Excel, Outlook, and PowerPoint) skills
  • Highly proficient in drafting and proof-reading written documents utilizing proper grammar, punctuation, and spelling
  • High level of motivation, demonstrated ability to be proactive and adaptable to change; leads self and others through change
  • Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment
  • Ability to provide strong customer service while actively listening and responding in an appropriate manner
  • Ability to work effectively, as well as independently, in a team environment
  • Demonstrated leadership in identifying and implementing process efficiencies and sharing best practices with others in order to improve the overall effectiveness of the team
  • Excellent verbal, written, and interpersonal communication skills
