About the role

Key responsibilities & impact
  • Answer and manage high volumes of inbound patient calls
  • Screen inquiries, identify patient needs, and route calls appropriately
  • Communicate with English- and Spanish-speaking patients
  • Handle inbound and outbound communications using RingCentral
  • Answer questions about appointments, insurance coverage, clinic services, and scheduling
  • Verify insurance eligibility, active coverage, plan benefits, and requirements
  • Determine deductibles, copays, coinsurance, and other patient financial responsibilities
  • Calculate and communicate estimated patient costs before scheduling
  • Identify insurance discrepancies and coordinate follow-up
  • Maintain accurate insurance documentation and patient records
  • Schedule and coordinate appointments
  • Collect and verify demographic, insurance, and intake information
  • Coordinate with the on-site clinic team
  • Provide remote front desk assistance and patient check-ins using a tablet or camera-based system
  • Support remote patient intake and registration
  • Navigate EMSOW PACS, the cloud-based ultrasound imaging system
  • Follow clinic workflows, documentation standards, HIPAA, and confidentiality requirements
  • Prioritize calls, scheduling, insurance verification, and front desk support during busy clinic hours

Requirements

What you’ll need
  • Fluent in both English and Spanish, including verbal and written communication (mandatory and non-negotiable)
  • Previous experience in U.S. healthcare administration, medical reception, medical scheduling, or virtual medical assistance
  • Hands-on experience verifying U.S. patient insurance eligibility, coverage, and benefits
  • Ability to determine estimated patient out-of-pocket costs
  • Experience managing high volumes of inbound patient calls in a medical or healthcare environment
  • Experience with appointment scheduling, patient inquiries, and intake responsibilities
  • Strong understanding of healthcare administrative workflows
  • Excellent attention to detail, organizational, and multitasking abilities
  • Ability to prioritize calls, insurance verification, scheduling, and front desk support
  • Ability to work independently with minimal supervision
  • Knowledge of HIPAA requirements and patient confidentiality standards
  • Ability to collaborate with on-site clinic staff
  • Must work exclusively with the assigned practice during scheduled hours, without overlapping employment or client commitments
  • Must submit an NBI Clearance and/or Local Police Clearance before onboarding
  • Must be available for camera-on video meetings when required
  • Must work Monday through Friday, 8:00 AM to 5:00 PM Eastern Time
  • Must maintain HIPAA-compliant work practices and patient confidentiality
  • Reliable laptop or desktop computer
  • Stable high-speed internet connection, minimum 25 Mbps
