About the role
Key responsibilities & impact- Answer and manage inbound company calls professionally and efficiently
- Identify the purpose and urgency of incoming calls
- Triage calls into sales, recruitment, support, or medical/operational pipelines
- Connect callers with the appropriate department, team member, or radiologist
- Take accurate messages and ensure information reaches the correct person
- Handle multiple incoming requests while prioritizing appropriately
- Follow communication and escalation procedures
- Serve as a primary point of contact for radiologists needing assistance
- Coordinate communication between radiologists, clinics, hospital systems, technical teams, and internal departments
- Handle and coordinate phone calls on behalf of unavailable radiologists
- Receive and route requests from radiologists, clients, and clinics
- Relay messages, requests, and information accurately between multiple parties
- Escalate urgent or complex concerns
- Maintain professionalism and confidentiality in healthcare communications
- Provide administrative support across sales, recruitment, support, medical, and operational departments
- Coordinate and follow up between departments
- Organize requests involving multiple teams
- Support day-to-day practice operations
- Reduce the Operations Manager's administrative workload
- Maintain organized records of calls, messages, and follow-up actions
Requirements
What you’ll need- Previous experience working in a healthcare or medical environment
- Strong understanding of healthcare terminology and workflows
- Ability to communicate effectively with medical professionals and healthcare organizations
- Excellent inbound phone handling and customer service skills
- Strong verbal and written English communication skills
- Ability to listen carefully, understand the purpose of a call, and determine the appropriate next step
- Ability to accurately relay messages and information between multiple parties
- Comfortable communicating with radiologists, clinics, hospital systems, technical teams, clients, and internal departments
- Strong organizational and coordination skills
- Ability to manage multiple calls, requests, and priorities simultaneously
- Strong attention to detail and accuracy
- Ability to remain calm and professional in a fast-paced healthcare environment
- Strong problem-solving skills and ability to appropriately escalate issues
- General administrative support experience
- Ability to work independently while collaborating with multiple departments
- Dependable, motivated, and committed to providing consistent, high-quality support
- Strong interest in a stable, long-term remote opportunity
- Understanding of HIPAA compliance and patient confidentiality
- Ability to handle sensitive healthcare information professionally and securely
- Willingness to complete required HIPAA and cybersecurity training
- Previous exposure to radiology or teleradiology operations is strongly preferred
- Ability to understand and appropriately coordinate requests involving medical professionals without independently providing clinical guidance
- Must be proficient in speaking and writing clear, professional English
- Must have relevant healthcare, medical, administrative, call handling, or coordination experience
- Must be able to submit an NBI Clearance and/or Local Police Clearance before onboarding (mandatory)
- Must be available for video meetings with camera on when required
- Must be available to consistently work the assigned full-time shift
- Must maintain appropriate confidentiality and HIPAA-compliant work practices
- Reliable laptop or desktop computer
- Stable high-speed internet connection (minimum 25 Mbps)

- Prior experience with Grasshopper is beneficial; Data Health experience is not required
