About the role

Key responsibilities & impact
  • Handle high-volume inbound patient calls across three practice locations
  • Communicate clearly, professionally, and patiently with patients, including elderly patients
  • Address routine appointment, refill, and general inquiry calls according to office protocols
  • Route calls, messages, and concerns to appropriate team members
  • Schedule, reschedule, and coordinate patient appointments
  • Review patient needs and appointment history to determine scheduling workflows
  • Escalate scheduling issues requiring provider or office-level guidance
  • Navigate AdvancedMD to review patient charts, appointment history, messages, refill-related information, and administrative details
  • Document patient interactions, messages, and scheduling updates accurately
  • Receive and route refill-related inquiries according to practice protocols
  • Route medication-related questions and clinical concerns to appropriate providers or team members
  • Avoid giving medical advice, approving refills, or making independent clinical decisions
  • Follow office workflows and communication protocols
  • Recognize and escalate urgent, unclear, clinical, or sensitive concerns
  • Support communication between patients, front desk staff, providers, and internal teams

Requirements

What you’ll need
  • Experience working in a healthcare, medical office, primary care, medical receptionist, front desk, or Medical VA role
  • Experience supporting patient inquiries, scheduling, message routing, refill inquiry routing, or similar front office healthcare workflows
  • Experience handling frequent high-volume inbound patient calls
  • Experience navigating patient charts, reviewing information, documenting interactions, and using an EHR/EMR
  • Experience scheduling, rescheduling, and coordinating appointments
  • Basic medical terminology knowledge
  • Clear and professional spoken and written English
  • Relevant work experience
  • Must provide an NBI Clearance and/or Local Police Clearance before onboarding
  • Availability to attend video meetings with camera on when required
  • Reliable laptop or desktop computer
  • Stable high-speed internet connection of at least 25 Mbps
  • Noise-canceling headset
  • Working webcam
  • Quiet and professional work environment
  • AdvancedMD experience is preferred but not required
  • Prescription refill inquiry support experience is preferred
  • Primary care experience is preferred
  • Spanish-English bilingual communication is preferred but not required
