About the role

Key responsibilities & impact
  • Follow up on unpaid, denied, stuck, or missing primary and secondary insurance claims.
  • Investigate denial reasons, missing information, and processing barriers; resolve issues and support manual resubmissions.
  • Check and release claims according to workflow.
  • Complete and review weekly, bimonthly, and monthly billing reports.
  • Verify numbers, reconcile discrepancies, and repost reconciled information.
  • Maintain patient and administrative information in HelloNote.
  • Follow up on Plans of Care, signed documentation, insurance verification, and prior authorizations.
  • Monitor expired Plans of Care, authorizations, active cases, draft notes, and administrative items.
  • Handle and route inbound and outbound calls through the Virtual Marketing Mastery phone platform.
  • Communicate professionally with patients and escalate issues appropriately.
  • Track referrals, visits, cancellation rates, cash balance, growth, revenue, expenses, and profit.
  • Support weekly, bimonthly, and monthly operational reporting and administrative compliance.
  • Assist with onboarding therapists and student interns.
  • Organize employee files, documentation, policies, procedures, and HR compliance items.
  • Support day-to-day administrative and office management needs.
  • Assist with social media, marketing, or content creation tasks after demonstrating quality in core responsibilities.

Requirements

What you’ll need
  • Claims denial and medical billing management experience required, including unpaid, denied, stuck, or unresolved insurance claims.
  • Experience identifying denial reasons or missing information, resolving claim issues, supporting manual resubmissions, and handling primary and secondary insurance claims.
  • Billing reconciliation experience required.
  • Previous EMR/EHR experience required; willingness and ability to learn HelloNote quickly.
  • CRM experience required.
  • Authorization experience required, including insurance verification and prior authorization follow-up.
  • Healthcare administrative experience required.
  • Phone support experience required.
  • Clear and professional spoken and written English.
  • Relevant work experience.
  • Must provide an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must attend video meetings with camera on when required.
  • Reliable laptop or desktop computer.
  • Stable high-speed internet connection of at least 25 Mbps.
  • Noise-canceling headset.
  • Working webcam.
  • Quiet and professional work environment.
  • Plans of Care follow-up experience preferred.
  • OT/PT or therapy practice experience preferred but not required.
  • KPI/reporting experience preferred.
  • HR onboarding or practice operations experience preferred.
  • Social media, marketing, or basic content creation experience is a plus.
