About the role
Key responsibilities & impact- Review transcriptions and clean up clinical notes for physician review
- Finalize charts and prepare them for physician signature
- Populate patient charts with referral details, test results, orders, and supporting documentation
- Ensure chart sections are accurate, complete, and organized
- Send orders after physician notes are completed, as needed
- Process incoming referrals and update patient charts
- Call referral patients to help schedule appointments
- Track referral status and document patient information accurately
- Coordinate scheduling updates based on referral needs and practice workflows
- Review, sort, identify, and route incoming faxes
- Track outstanding fax-related items and follow up
- Make appointment confirmation calls and remind patients of appointment expectations
- Inform patients about no-show fees and outstanding balances when applicable
- Ask about insurance concerns and remind patients to bring insurance cards
- Contact patients about ordered tests such as MRIs or EMGs and obtain testing details/results locations
- Ask new foot-pain patients where they prefer imaging so X-ray orders can be sent ahead
- Complete insurance eligibility checks and document concerns
- Support outbound calls and administrative follow-up
- Assist with additional clinical and administrative duties as the role expands
Requirements
What you’ll need- Medical Assistant or Clinical Administrative Experience required
- Experience supporting clinical documentation, chart preparation, referrals, patient coordination, or medical office workflows
- Chart Review & Clinical Documentation Experience required
- Referral Processing Experience required
- Fax Management Experience required
- Outbound Patient Call Experience required
- Insurance Eligibility Experience required
- Podiatry experience highly preferred
- Orthopedic, surgical, or specialty medical experience preferred
- AdvancedMD experience preferred but not required; strong EMR/EHR experience may be considered
- Vonage or similar phone-system experience is preferred but not required
- Strong understanding of medical charting, clinical documentation, and patient record accuracy
- Strong attention to detail and ability to identify missing or incomplete information
- Professional and confident outbound patient-call skills
- Organization, reliability, and ability to manage referrals, faxes, charts, and follow-up tasks
- Ability to learn medical terminology and practice-specific workflows quickly
- Ability to work across clinical and administrative responsibilities
- Ability to work independently with minimal supervision
- Strong retention mindset and interest in a long-term role
- Must speak and write English clearly and professionally
- Must have relevant work experience
- Must provide an NBI Clearance and/or Local Police Clearance before onboarding
- Must be available for video meetings with camera on when required
- Reliable laptop or desktop computer
- Stable high-speed internet connection of at least 25 Mbps
