About the role

Key responsibilities & impact
  • Provide administrative support to enable the Young Life field ministry area office to function in an organized and efficient manner
  • Answer correspondence, phones, voicemail, email and phone calls; perform filing and prepare mailings
  • Gather articles and pictures and handle layout, production and mailing for newsletters
  • Create club/event postcards, flyers, maps, prayer emails and monthly updates
  • Send personal support mailings and donor thank-you letters
  • Create and maintain the area M-Site
  • Interact with area office staff, area directors, area committee, volunteer team leaders and leaders
  • Process and track donations
  • Maintain donor, leader, parent, newsletter, banquet and other contact databases and distribution lists
  • Ensure leader forms, driver questionnaires and criminal background checks are up to date
  • Manage monthly expenses, budgets, bank account records, FDT, staff expense reports, purchase-card expenses and donations
  • Pay bills, submit accounting records and update monthly financial status
  • Track vacation, sick and personal days; submit timesheets; complete personnel action requests and hiring/termination documents
  • Coordinate area staff, leadership and committee meetings
  • Track camp participation, payments, health forms and fundraising earnings
  • Communicate with parents and camps; prepare camp brochures and handle camp contracts and forms
  • Coordinate banquet, golf marathon and auction invitations, sponsor packets, programs, guest lists, RSVPs, donations and thank-you notes
  • Provide training to area office assistants, directors, committee members and volunteer leaders
  • Participate in Young Life activities as appropriate and support relationships with students, leaders, parents, churches and community partners
  • Provide additional administrative or ministry support as needed

Requirements

What you’ll need
  • High school education or its equivalent
  • Ability to type 55 to 60 words per minute with few errors
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint
  • Strong organizational skills with attention to detail and processes, with the capability of handling concurrent tasks and constant interruptions
  • Good grammar skills and strong written and verbal communication skills
  • Ability to maintain confidentiality
  • Basic accounting skills
  • Detail-oriented multitasking ability
  • Proven relational skills with both kids and adults
  • Initiative with developing processes/systems around events, data organization and maintenance
  • Great customer service skills
  • Personal commitment to the mission and values of Young Life and an active Christian faith
  • Young Life requires all employees to sign a Statement of Faith
  • Young Life employees must profess belief in Jesus Christ as personal Savior and Lord and subscribe to required Young Life statements and policies
