About the role
Key responsibilities & impact- Support pre-event planning across team documents, communications, data management, attendee and rooming lists, material procurement, shipping, and inventory
- Organize, track, assemble, and coordinate on-site materials and deliverables
- Maintain and retrieve reports and historical event records
- Run errands, place online orders, and track expenses
- Travel to pre-planning meetings and the event
- Organize, pack, ship, send, and unpack event materials
- Lead on-site planning team task execution and assist with on-site team meetings
- Unload, organize, inventory, and distribute event items after the event
- Respond to guest inquiries and follow-ups and send mailers
- Finalize expenses and vendor invoicing
- Collect survey responses and reporting data for the After-Action Report
- Collaborate with the 1YL Director, Travel Coordinator, and Planning Team to execute the 1YL 2028 conference
Requirements
What you’ll need- High school required and a minimum of 3 years of relevant experience, or equivalent combination of education and experience required
- Experience in hospitality or fast-paced event environments preferred
- Highly professional and trustworthy, with confidence in engaging with executive leadership
- Calm under pressure and able to manage multiple requests simultaneously
- Strong organizational and multitasking skills with meticulous attention to detail
- Proficiency with Microsoft Office Software, Canva, Google Sheets, and Google Drive
- Self-starter able to think critically, adapt, and independently resolve situations in real time
- Comfortable working on administrative and hands-on physical tasks
- Excellent communication and follow-through with the event team and stakeholders
- Flexible availability, including extended evenings and weekends during event week
- Reliable transportation and willingness to run scheduled errands
- Able to lift or move boxes up to 15 lbs
- Must profess belief in Jesus Christ as personal Savior and Lord and subscribe to Young Life's Statement of Faith and required policies
