About the role
Key responsibilities & impact- Administer payroll processing for all business locations
- Collect payroll data and maintain accurate pay records
- Process multistate payroll for all employees on a bi-weekly pay period
- Verify employee time entries in timekeeping software and review exception reports
- Quality-check processed payroll reports and reconcile payroll before transmission
- Process pay rate and voluntary deduction changes for new hires, transfers, promotions, and terminations
- Process manual checks, stop payments, payroll adjustments, and garnishments
- Process special payrolls, including annual bonus and year-end adjustment payrolls
- Complete end-of-month reporting for Accounting
- Research and resolve payroll questions involving PTO, banking, garnishments, employment verifications, retroactive pay, tax questions, and other changes
- Provide wage reports to outside agencies, including US Labor and Statistics, the DOL, and the Florida Department of Commerce
- Assist Accounting with unclaimed-check due diligence, reissues, and state-agency reporting
- Process quarterly and year-end reporting, including W-2s
- Develop ad hoc financial and operational reports
- Oversee maintenance of current employee data systems
- Manage workflow to ensure accurate and timely payroll transactions
- Support internal and external payroll audits
- Perform other duties as assigned
- Collaborate with Human Resources, Operations, and Finance to maintain clear processes and regulatory compliance
Requirements
What you’ll need- Fundamental Payroll Certification (FPC) preferred
- 5 years of multistate payroll experience
- Knowledge of wage and hour laws for all applicable states, including California
- Experience with ADP WFN and utilization of ADP comprehensive payroll
- Proficient in Microsoft Office; high level of proficiency in Excel preferred
- Attention to detail
- Highly organized with good time management
- Ability to adapt to changes in the regulatory environment
- Strong written and verbal communication skills in English
- Ability to listen, understand and respond to customer needs
- Bilingual Spanish is a plus
- Extreme confidentiality and integrity
- Ability to work with a variety of people
