About the role
Key responsibilities & impact- Perform general office administration tasks
- Edit, file, and distribute documents and templates
- Plan and organize appointments, events, and business travel
- Handle incoming and outgoing correspondence
- Document complex topics comprehensively
- Procure and manage office supplies
- Prepare and review accounts receivable invoices in collaboration with Sales and Delivery, and follow up on overdue payments
- Review and process incoming accounts payable invoices
- Validate internal expense and credit card reports
- Prepare financial reports, including billability and cost-center reports
- Update, amend, and validate personnel data
- Apply and update personnel policies as required
- Provide administrative support throughout employee onboarding and offboarding
- Manage time tracking and absences, including vacation and sick leave
- Collect, evaluate, and analyze HR data
- Handle HR inquiries regarding employment conditions and personnel processes
Requirements
What you’ll need- 2–5 years of experience in an administrative or commercial environment
- Solid practical knowledge of HR administration, including HRM processes, social insurance, and payroll
- Solid practical knowledge of financial administration, including invoicing and dunning, payment processing, and reporting
- German and English proficiency at C1 level
- Implement administrative workflows in accordance with established requirements
- Execute and monitor financial processes
- Ensure compliance with quality standards and regulatory requirements
- Communicate information clearly and listen attentively
- Collaborate with the team and actively support others
- Work reliably and take responsibility
- Take initiative independently and contribute ideas
- Set objectives and workflows and monitor progress
- Adapt to change and manage ambiguity
