About the role

Key responsibilities & impact
  • Guide English- and Spanish-speaking families through intake paperwork, required forms, scheduling, and program updates
  • Schedule new admission appointments, psychiatric appointments, and IEP appointments; communicate next steps to families and staff
  • Support Zoom sessions, monitor chat, help adolescents transition between activities, and troubleshoot access, audio, and video issues
  • Maintain accurate attendance, census, intake documents, schedules, and other program records
  • Respond to administrative questions, share reminders, and coordinate information across caregivers, admissions, and clinical teams
  • Complete same-day administrative documentation and assigned check-ins following program procedures
  • Promptly notify clinical staff of safety concerns, disclosures, or changes in client behavior
  • Support admissions, virtual group sessions, and daily program administration for an adolescent virtual mental health program

Requirements

What you’ll need
  • Fluent English and Spanish, with the ability to communicate clearly with teens and caregivers in both languages
  • Experience in behavioral health, mental health administration, intake, patient services, education, youth services, or a related support role
  • Comfort working with adolescents ages 13–17 and supporting virtual group environments
  • Strong scheduling, data entry, recordkeeping, documentation, and follow-through skills
  • Confidence using Zoom, virtual meeting platforms, and digital administrative tools
  • A calm, approachable communication style and sound judgment about non-clinical boundaries and when to escalate concerns
  • Ability to work independently while staying responsive and connected to a remote team
