Program Assistant Coordinator

About the role
Key responsibilities & impact- Train for and perform Program Manager responsibilities within the DDA Department
- Provide pre-service and in-service training
- Monitor and verify community visits, fire/storm drills, and evacuation plans
- Facilitate monthly PCSP/ISP reviews
- Cooperate with incident/reportable event investigations
- Develop and implement corrective action plans (CAP)
- Complete weekly and monthly audits
- Complete monthly site visits
- Request admission documentation and enter client demographics into PHS
- Ensure 24-hour visits are completed according to policy
- Ensure staffing and in-service plans are complete
- Enforce company policies and procedures and verify staff compliance
- Develop annual schedules for evacuation drills, medical appointments, reports, and meetings
- Provide completed schedules to the Program Director as requested
- Develop and maintain program books and clients’ permanent files according to policy
- Update client emergency contacts, personal records, healthcare plans, and program staff contact lists
- Maintain regular communication with leadership and team members and respond promptly during business hours
- Perform other assigned duties
Requirements
What you’ll need- Must live within one hour of the Hermitage, TN office
- High school diploma or GED equivalent
- Satisfactory criminal background check
- High-speed internet
- Quiet, professional workspace
- Reliable internet
- 27" or larger monitor, keyboard, and mouse for use with company-issued laptop
- Knowledge of Google and Microsoft Office Suite (Word, Excel, PowerPoint) and/or business management software
- Strong interpersonal, organizational, analytical, documentation, and multitasking skills
- Ability to work independently with minimal supervision
- Ability to communicate professionally with diverse groups and individuals at all organizational levels
- Ability to document required information and implement specialized protocols and program presentations
- Ability to analyze documents, identify issues, and improve productivity
- Flexibility to adapt and learn in a fast-paced environment
- Caregiving and office experience preferred
- Previous healthcare or corporate environment experience is a plus
