About the role

Key responsibilities & impact
  • Serve as the primary client contact for production logistics, shipment timelines, and specifications
  • Manage last-minute changes, reprioritize work, communicate impacts, and keep programs on track
  • Participate in planning calls and translate event needs into clear warehouse execution
  • Communicate shipment status and flag potential issues proactively
  • Decide when to solve problems independently and when to escalate
  • Build trust with clients through clear and patient communication under pressure
  • Anticipate on-site requirements based on field experience
  • Oversee preparation, packing, and quality control of event kits
  • Direct warehouse team members on daily kit assembly using pull lists and pack lists
  • Maintain warehouse organization systems for complex event assets
  • Label and organize kits using event production nomenclature
  • Troubleshoot packing challenges in real time
  • Collaborate with ADVOC8’s event production team on program planning and execution
  • Create and maintain documentation for recurring event programs
  • Track kit inventory, flag reorder needs, and manage asset lifecycle
  • Troubleshoot technology issues and adapt to new platforms
  • Identify process improvements to increase efficiency and reduce errors

Requirements

What you’ll need
  • Client management experience with difficult-to-pin-down clients, late changes, or high support needs
  • Grace under pressure with last-minute changes, disorganized inputs, and compressed timelines
  • Hands-on warehouse experience with equipment and physical assets
  • Experience owning inventory, orders, and asset records in a real system
  • Scenic and fabricated asset experience covering intake, install, and lifecycle
  • Procedure discipline and maintaining a paper trail
  • Process improvement mindset
  • Organized and schedule-aware; escalates early
  • Event production experience with brand activations, trade show booths, experiential programs, or similar
  • 2–5 years in event production, trade show coordination, or experiential marketing
  • Production/field work background with physical display assembly and on-site work under pressure
  • Comfortable working in a warehouse environment and performing hands-on physical work
  • Experience with tech, entertainment, or consumer brand clients preferred
  • Knowledge of tension fabric displays, modular exhibits, retractable banners, and activation elements
  • Understanding of event logistics including load-in/load-out, venue shipping, drayage, and advance warehouses
  • Confident client communication regarding logistics, timelines, and production realities
  • Professional meeting and email communication
  • Google Workspace proficiency, especially Sheets, Docs, and Drive
  • Ability to quickly learn warehouse management software and shipping platforms
  • Ability to manage multiple concurrent programs
  • Strong work ethic and willingness to be hands-on
