About the role

Key responsibilities & impact
  • Provide, initiate, and prioritize complex confidential administrative support
  • Perform reception, schedule planning and coordination, word processing, document distribution and development, file maintenance, and research/presentation of office materials
  • Relieve department leadership and staff of administrative details using judgment and discretion
  • Solve complex office-related situations and conflicts and plan/expedite office workflow
  • Schedule, maintain, and prioritize calendars of appointments, meetings, and travel
  • Prepare agendas and coordinate sites, food/beverages, audio-visual arrangements, and documents
  • Answer, screen, and initiate telephone calls and greet visitors
  • Provide procedural information and resolve problems while prioritizing needs
  • Create and edit correspondence, memos, and documents; format layouts and compile graphics, reports, and statistical data
  • Create, generate, display, and distribute reports
  • Present administrative materials, reports, and information to groups
  • Establish and maintain filing systems and confidential records
  • Open, read, and prioritize mail and department documents
  • Conduct independent research and compile, analyze, and summarize information
  • Coordinate administrative details of special projects and assignments
  • Operate and maintain office equipment and order office supplies as needed
  • Act as a resource to clerical staff and provide training as needed

Requirements

What you’ll need
  • High School Graduate
  • Typically requires 5 years of experience in providing administrative support
  • Ability to effectively manage time and priorities
  • Ability to maintain a high degree of confidentiality
  • Ability to prioritize office workflow and make effective administrative decisions
  • Ability to take initiative and independently problem solve on office-related issues
  • Effective written and verbal communication with individuals, customers, and leadership
  • Proficiency in Microsoft Office (Excel, PowerPoint, and Word) or similar products
  • Ability to create and compile simple to complex documents, reports, graphs/charts, and presentations
  • Ability to manage data systematically
  • Organizational ability and attention to detail and accuracy
  • Must operate all equipment necessary to perform the duties of the job
  • Must be able to sit, stand, and walk for prolonged periods
  • Must be able to continuously use a keyboard
  • Occasionally lifts items weighing up to 20 lbs.
  • Functional speech, vision, and hearing
  • Ability to concentrate on minute detail with frequent interruptions
  • Ability to type, write, and perform data entry for prolonged periods
