About the role

Key responsibilities & impact
  • Greet patients and visitors promptly, courteously, and helpfully
  • Collect insurance co-payments and respond to routine information requests
  • Schedule and maintain calendars of appointments, meetings, and travel
  • Coordinate agendas, site selection, food/beverage selections, audio-visual arrangements, and document preparation
  • Schedule patients and enter information into the computer system
  • Coordinate patient appointments with other departments and physician offices
  • Answer and screen telephone calls, triage clinical calls, and resolve problems appropriately
  • Assemble, copy, and release patient medical records
  • Coordinate with the Medical Records Department on requests for notes and additional information
  • Generate, modify, update, and distribute basic reports
  • Open, sort, and distribute mail and department documents
  • Operate and maintain office equipment and order office supplies as needed
  • Complete referrals and track and follow up on re-authorizations
  • Process patient registration and obtain required information
  • Process billing/reimbursement forms and other department records as needed
  • Maintain logs and reports and perform simple calculations
  • Assist with gathering, organizing, and compiling data for reports and meetings

Requirements

What you’ll need
  • High School Graduate
  • Typically requires 1 year of experience in performing scheduling, customer service, and administrative/clerical support duties
  • No licensure, registration, or certification required
  • Ability to multi-task, route calls, greet patients, and maintain a schedule of appointments/meetings
  • Proficient in Microsoft Office (Excel, PowerPoint, Access, and Word) or similar products
  • Experience maintaining, tracking, and entering data in database and/or spreadsheet software
  • Strong organizational skills and attention to detail
  • Effective written and verbal communication skills
  • Ability to build rapport and relate to all people
  • Ability to operate standard office equipment
  • Ability to sit, walk, stand, bend, and lift frequently throughout the workday
  • Ability to occasionally lift items weighing up to 20 lbs.
  • Functional speech, vision, and hearing
