About the role

Key responsibilities & impact
  • Provide support for Resource Planning activities, ensuring the organization and control of information required for the mobilization, allocation, and monitoring of operational resources.
  • Manage and keep up to date employee, training, certification, mandatory documentation, and other records required to meet contract and client requirements.
  • Support team mobilization and demobilization processes, ensuring that all documentation, authorizations, reservations, travel arrangements, and operational requirements are completed within established deadlines.
  • Prepare, update, and control spreadsheets, reports, presentations, metrics, and other administrative documents related to resource planning and operational support.
  • Manage the department’s physical and electronic files, ensuring that information is organized, traceable, and readily available.
  • Support the scheduling of training, onboarding, certifications, and refresher courses, monitoring expiration dates and ensuring employee compliance with legal and contractual requirements.
  • Support communication among Operations, Human Resources, Training, Logistics, Procurement, and other departments, ensuring the proper flow of information for workforce planning.
  • Assist with the control of materials, equipment, and PPE required for mobilizations, following up on requests with the responsible departments.
  • Contribute to monitoring workforce availability, schedules, vacations, days off, rotations, and other information that affects operational planning.
  • Participate in the preparation and updating of procedures, workflows, metrics, and action plans focused on the continuous improvement of Resource Planning processes.
  • Identify opportunities to optimize the department’s administrative and operational processes, proposing solutions that improve efficiency, standardization, and information reliability.
  • Support internal and external audits by organizing and providing documents and supporting evidence whenever requested.

Requirements

What you’ll need
  • Bachelor’s degree in Business Administration, Engineering, International Trade, or a related field.
  • Advanced proficiency in Microsoft Office.
  • Advanced English proficiency.
  • Advanced Spanish proficiency.
  • Knowledge of Power BI.
  • Knowledge of the renewable energy and services markets.
  • Knowledge of SAP preferred.
  • Knowledge of Smartsheet preferred.
