About the role
Key responsibilities & impact- Support the Vice President of Global Quality in a fast-paced global corporate environment
- Manage complex executive calendars and schedules across global time zones
- Coordinate high-priority meetings, leadership meetings, executive reviews, and meeting materials
- Arrange flights, hotels, local transportation, itineraries, visa and passport requirements, and travel expense reports
- Prepare internal and external events, webcasts, executive briefings, and related logistics
- Serve as primary contact and escalation point for internal customers, suppliers, regulatory authorities, executives, and employees
- Manage, track, and reconcile large purchase orders and departmental expenses
- Partner with procurement and finance to onboard suppliers and resolve issues
- Establish and improve SharePoint sites, collaboration spaces, documentation repositories, and administrative processes
- Maintain organizational information including org charts, job descriptions, training profiles, distribution lists, and internal group content
- Support Global Quality leaders and teams with meetings, correspondence, minutes, action-item follow-up, and coordination
- Create materials for communications events and leadership meetings
- Manage team communication sites and coordinate with Agilent communication teams
- Provide onboarding support for new hires reporting to the VP
- Participate in or lead functional projects and process improvements, including reporting automation, audit tracking, KPI publishing, and budget tracking
- Support the administrative assistant community in Santa Clara with company-wide and functional events
- Report to a manager at the Executive level
Requirements
What you’ll need- Minimum of 5 years of relevant experience required
- Associate degree and/or higher education, specialized training, certification, or equivalent combination of education and experience required
- Quality Assurance or Regulatory Affairs experience would be a plus
- Advanced proficiency in Microsoft tools, including Excel, PowerPoint, Teams, Outlook and Copilot
- Excellent judgment, discretion, integrity, and ability to handle highly confidential information
- Strong verbal and written communication skills
- Strong computer and technical skills and experience with MS 365 business applications, including Word, Excel, PowerPoint, and Copilot or similar tools
- Proficiency with Outlook, SharePoint, Teams, and telepresence-enabled Teams
- Demonstrated ability to apply digital technologies, automation, and collaboration tools
- Ability to work independently and as part of a global team
- Proven time management and organization skills
- Excellent interpersonal skills and ability to engage professionally with demanding stakeholders
- Ability to prioritize, take initiative, and develop creative solutions to complex administrative needs
- Ability to multitask in a high-stress environment
- Attention to detail, follow-through, ownership mindset, and ability to manage competing priorities with minimal instruction
- Comprehensive understanding of company policies and organizational practices
- Ability to act as an informal team lead
- Ability to comply with SEC Regulation Fair Disclosure requirements
