About the role

Key responsibilities & impact
  • Coordinate documentation flow from agents to the office, solicitors, and other real estate companies involved in contracts
  • Process deal files from entry through closing, including listing contracts when necessary
  • Review contracts and accompanying documents in Skyslope
  • Perform data entry into BackOffice
  • Calculate commissions accurately and verify MLS data
  • Process residential, commercial, lease, service/fee agreement, referral, and cancellation transactions
  • Request missing documentation from agents in Skyslope and follow up on outstanding paperwork
  • Confirm required documentation is complete before closing
  • Escalate issues to the managing broker when necessary
  • Generate Trade Records and provide copies to agents
  • Verify deposit information and ensure client funds are deposited into the trust account on time
  • Convey instructions, invoices, and paperwork to solicitors and outside brokerages
  • Report outstanding issues to the Provincial Transaction Team Lead
  • Maintain personal and central conveyance email accounts and respond to inquiries
  • Ensure final file sign-off by the Provincial Administrator Broker when applicable
  • Coordinate with the payouts department to release commissions and send funds to lawyers and brokerages
  • Attend orientation, FINTRAC training, team meetings, provincial and national meetings, and monthly training sessions
  • Drive adoption of Skyslope, Slack, CRM, My eXp, and other core platforms
  • Support agents and staff with transactions, system navigation, and technology compliance workflows
  • Lead or co-facilitate provincial training sessions and maintain a resource library or knowledge base
  • Liaise with field operations and national technology teams on local challenges and innovation pilots
  • Monitor agent adoption metrics and recommend solutions
  • Maintain regular communication, attend virtual meetings, provide progress updates, and collaborate using remote tools
  • Manage workload, meet deadlines, complete assigned projects, and maintain data security and confidentiality

Requirements

What you’ll need
  • High school diploma required or equivalent years of applicable experience
  • Must be bilingual in English and French
  • 1+ years of experience in real estate transactions processing preferred
  • Computer experience essential
  • Basic knowledge of the OACIQ and Canadian Real Estate Transaction requirements & provincial processes
  • Proficient knowledge of G Suite required
  • Knowledge of Google Docs & Sheets, and eZmax is an asset
  • Microsoft Office experience is a bonus
  • Remote work experience required
  • Dedicated home-office/work space
  • Advanced Trello experience preferred
  • Aptitude for using online platforms and software to work remotely
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Excellent critical thinking and problem-solving skills
  • Experience in coordinating events and group activities
  • Conflict resolution and active listening abilities
  • Ability to build relationships with Brokers/Agents, Notaries, DA, and co-workers
