About the role

Key responsibilities & impact
  • Support the Office of the Legal Adviser at the U.S. Department of State
  • Compose administrative correspondence and general office policy materials for executive approval
  • Prepare materials for conferences, correspondence, appointments, meetings, and calls
  • Read publications, regulations, and directives and route or act on relevant items
  • Prepare reports, summaries, and responses using information from multiple sources
  • Establish appointment priorities and manage executive calendars and invitations
  • Review outgoing correspondence and identify policy or file conflicts
  • Summarize incoming materials, meetings, and executive commitments
  • Coordinate actions and information requests during the executive’s absence
  • Act as office manager by developing and implementing improved procedures
  • Prepare conference agendas, discussion topics, speech backgrounds, and outlines
  • Receive and escort guests and handle phone and email inquiries
  • Interface with Department of State management, executives, contractors, and senior outside officials
  • Advise subordinate-office secretaries on procedures and request information
  • Maintain business transaction and office activity records and manage incoming and outgoing mail
  • Attend program management and inter-agency meetings and produce program reports
  • Develop and maintain program databases and master files
  • Train administrators and program users on procedures and policies
  • Manage electronic time and attendance and travel arrangements
  • Serve as a unit security officer
  • Coordinate training requests, rosters, materials, rooms, and one-on-one training
  • Provide administrative support to program managers on Department programs and projects

Requirements

What you’ll need
  • U.S. citizenship required
  • Active Secret security clearance required
  • High school diploma or equivalent required
  • 8–10 years of increasingly responsible administrative/receptionist experience
  • Excellent customer service and multi-tasking skills
  • Advanced writing skills for difficult, detailed correspondence
  • Ability to manage dynamic management calendars and plan events with external vendors
  • Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint
  • Intermediate to advanced knowledge of two or more Microsoft Office/PC applications
  • Working knowledge of email and office equipment
  • Ability to learn and apply complex organizational policies and processes
  • Sound judgment and discretion with senior internal and external officials
  • Ability to complete tasks creatively and effectively
  • Ability to remain stationary 75% of the time and work indoors 90% of the time
  • Ability to frequently move standard office equipment up to 25 pounds
