About the role

Key responsibilities & impact
  • Proactively support leaders by anticipating needs and simplifying day-to-day work
  • Serve as a trusted partner to two Vice Presidents, prioritizing competing demands and resolving issues
  • Organize and maintain complex calendars across multiple time zones
  • Manage calendars and coordinate internal and external meetings
  • Coordinate meeting logistics, including conference rooms, materials, and technology support
  • Prepare, review, and process expense reports and manage expense approvals under company policy and budget
  • Assist with timekeeping and payroll responsibilities
  • Provide coverage for other Executive/Administrative Assistants during vacation or leave
  • Manage organization charts and team rosters
  • Book and coordinate air and hotel travel arrangements
  • Support event scheduling and coordination, including room bookings, catering, and logistics
  • Support team administration, including job postings, new-hire onboarding, distribution lists, group-wide meetings, and team real estate needs
  • Process requisitions and invoices, order supplies, and manage ticket requests

Requirements

What you’ll need

  • Strong judgment and an instinct for identifying ways to make leaders and teams more effective
  • Positive attitude, collaborative demeanor, and high degree of reliability
  • Exceptional organizational, administrative, and interpersonal skills
  • Keen attention to detail and a strong sense of urgency in execution and follow-up
  • Ability to prioritize multiple tasks and work autonomously with minimal guidance
  • Strong integrity and ability to handle confidential and sensitive information with discretion
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Outlook and Office, including Word, PowerPoint, and Excel
  • Minimum of 3–5 years of experience supporting executives with complex calendars and travel
  • Employment eligibility to work with American Express in the United States is required; the company will not pursue visa sponsorship for these positions
