About the role

Key responsibilities & impact
  • Greet patients and caregivers and create a welcoming environment
  • Check in patients, verify identity, and document arrival status in the EMR
  • Verify, update, and maintain patient demographic information
  • Collect, document, and post patient payments and co-pays; issue receipts
  • Ensure completion of patient forms and medical history documentation
  • Answer inbound calls, route calls, and document messages in the EMR
  • Schedule and manage patient appointments, referrals, testing, treatments, and hospital admissions
  • Maintain physician schedules and resolve scheduling conflicts
  • Coordinate physician schedule changes, meetings, vacations, conferences, and drug representative visits
  • Assign new patients to appropriate clinicians and maintain assignment records
  • Contact patients regarding missed appointments and reschedule as appropriate
  • Document and relay hospital consults, messages, and urgent information
  • Manage answering service activation/deactivation and retrieve messages
  • Create, maintain, and update patient charts in EMR and billing systems
  • Assemble and verify patient and hospital follow-up records and obtain missing documentation
  • Process, file, and distribute faxes, mail, courier deliveries, and electronic documents
  • Respond to medical record requests in accordance with policy and HIPAA requirements
  • Support legal and subpoena-related chart requests
  • Maintain EMR, fax servers, and document management systems
  • Verify patient identifiers and resolve misfiled documentation
  • Prepare daily close documentation, deposits, and trial closes
  • Balance cash drawers and handle funds according to procedures
  • Notify Financial Counselors of insurance changes, STAT scheduling needs, or hospital admissions
  • Distribute reports, schedules, and documentation to appropriate departments
  • Comply with federal, state, and local regulations and AON policies
  • Perform duties across Patient Services stations and provide coverage across locations
  • Assist with training and onboarding new Patient Services staff
  • Maintain organized workspaces, safeguard equipment, and protect confidentiality
  • Support multi-site operations and work at alternate AON locations as needed

Requirements

What you’ll need
  • High School Diploma
  • Minimum of one (1) year experience in a healthcare setting
  • Demonstrated customer service focus with strong attention to detail and multitasking ability
  • Strong interpersonal and communication skills with diverse populations
  • Critical thinking, problem-solving, and organizational skills
  • Ability to manage competing priorities in a fast-paced, multi-site environment
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Ability to work at alternate AON locations as business needs require
