About the role

Key responsibilities & impact
  • Lead daily operations of support services and business office operations for regional administrative functions
  • Support budget monitoring, daily finance transactions, local vendor relationships, facilities management, fleet management, Human Resources, Information Technology, and records/reports
  • Monitor budgets and expenditures, approve procurement transactions, prepare forecasts, and ensure programs remain within budget
  • Maintain and distribute operational processes and procedures and ensure adherence
  • Provide guidance for grant reporting and respond to requests for information and documentation
  • Coordinate facility activities, establish work procedures, approve maintenance, develop vendor relationships, analyze data, and plan real estate transactions
  • Meet with other divisions to discuss shared services and achieve management objectives
  • Train and guide volunteers handling administrative transactions
  • Analyze fleet inventory records and support fleet training, maintenance, and personnel management
  • Support event planning, volunteer training, insurance certificate applications, financial collection processes, and regulated-item forms and codes
  • Train staff on business software applications and support escalation of regional phone and computer issues
  • Perform duties in compliance with standard operating procedures and applicable federal, state, and local regulations

Requirements

What you’ll need
  • High School or equivalent required
  • Associate’s degree in Accounting, Business or Public Administration preferred
  • Minimum 5 years of financial or facilities business operations/administrative experience in community organizations, government agencies, non-profit, business or equivalent combination of education and related experience required
  • Experience working effectively with volunteers and board members preferred
  • Ability to plan, prioritize and organize work to maximize team performance and meet customer expectations
  • Excellent organizational skills and attention to detail
  • Strong interpersonal skills and ability to create and maintain collaborative work relationships
  • Proficient with MS Office software, including Word, Excel, PowerPoint and Outlook
  • Strong knowledge of federal, state and local employment laws
  • Ability to work on a team
  • Travel throughout the Region, with some travel outside the Region, is required
  • Ability to use a personal computer, applicable software, and office equipment for sustained periods
  • Experience with Accounts Payable processes and financial administration preferred
  • Experience working with vendors, obtaining quotes, reviewing proposals, and managing vendor relationships preferred
  • Experience using EMAX or similar facilities/work order management systems preferred
  • Experience maintaining inventory records and coordinating across multiple locations or facilities preferred
  • Ability to collaborate effectively with cross-functional teams preferred
