About the role

Key responsibilities & impact
  • Plan, coordinate, and deliver conferences, meetings, educational offerings, and events for assigned clients
  • Provide customer service aligned with AMR service standards and client objectives
  • Manage event planning and operational support throughout the event lifecycle
  • Serve as project manager for client events and educational programs, overseeing Basecamp tasks, timelines, deliverables, and critical paths
  • Lead project team and internal planning meetings
  • Lead risk management evaluation and analysis
  • Assist with event budgets, expense monitoring, financial processes, billing and credit arrangements, and event payments
  • Lead site selection, including preparing and analyzing RFPs, conducting site visits, and making client recommendations
  • Research and recommend venues and locations for offsite meetings and events
  • Evaluate and select event-related service providers
  • Evaluate virtual and digital educational platforms
  • Coordinate event services and logistics, including accommodations, transportation, facilities, room setups, catering, audiovisual, signage, printing, entertainment, and security
  • Manage exhibit hall programs, exhibitor communications, decorator relations, and exhibit technology
  • Monitor event compliance, participant satisfaction, and issue resolution
  • Partner with AMR staff onsite to execute event details
  • Develop and approve final event documents, including BEOs
  • Develop AMR Orders of Business and support Run of Show documents
  • Provide supervisory support for conference and meeting volunteers and staff
  • Manage post-conference debriefs, evaluations, reporting, and event bill review and payment
  • Support packing, unpacking, and shipping of conference materials
  • Perform other assigned duties

Requirements

What you’ll need
  • Bachelor's degree or commensurate experience required
  • Five years or more of experience in meeting planning and event coordination
  • Experience with events of 350 or more attendees
  • Prior association or association management company experience is a plus
  • Certified Meeting Professional (CMP) certification is preferred
  • Strong project management and leadership skills
  • Ability to independently manage projects from planning through completion
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple meetings, events, projects, and priorities simultaneously
  • Strong interpersonal and problem-solving skills
  • Excellent verbal, written, and presentation communication skills
  • Strong customer service skills
  • Strong knowledge of conference and event planning terminology and concepts
  • Ability to evaluate information, identify potential issues, and develop creative and practical solutions
  • Innovative and adaptable
  • Proficient knowledge of Microsoft 365 and its applications
  • Ability to work collaboratively and independently with minimal supervision
  • Ability to travel approximately 6–8 times per year for onsite conference and event support
  • Flexibility to work evenings and weekends as needed
