About the role

Key responsibilities & impact
  • Greet clients and patients positively and create a welcoming experience
  • Manage incoming calls and convert them into scheduled appointments
  • Convert more than 20% of new-client incoming calls into appointments
  • Promote Care Companion Plans and preventive care services
  • Make weekly reminder calls to clients due or overdue for services
  • Perform patient intake and discharge
  • Facilitate client education and use of the online pharmacy
  • Handle cashier duties, reconcile the cash drawer, and complete opening and closing processes
  • Maintain accurate patient medical charts and documentation
  • Collaborate with the veterinary team to streamline patient flow and client experience
  • Keep the reception area clean and inviting
  • Resolve customer complaints proactively
  • Learn basic veterinary technical skills, including animal restraint and lab duties
  • Follow OSHA standards and perform other assigned responsibilities

Requirements

What you’ll need
  • High School Diploma or equivalent
  • 1+ years of customer service experience, preferably front desk or call center experience in a fast-paced environment
  • 1+ years of experience working with computers (typing, email, other software)
  • Ability to handle dogs, cats, and exotic animals
  • Typing 40+ wpm
  • Basic MS Office products (Word, Excel) and email systems
  • Ability to learn new computer software systems (PIMs, scheduling, etc.)
  • Strong customer service focus
  • Excellent phone demeanor and effective communication skills
  • Ability to work onsite; remote work is not available
  • Flexibility for 10+ hour shifts, weekends, evenings, and holidays
  • Ability to lift 25+ pounds and perform standing, walking, and reaching
  • Ability to work around animal sounds, smells, space constraints, potential bites or scratches, biological hazards, and medications
  • Ability to adhere to OSHA standards and regulations
