About the role
Key responsibilities & impact- Manage calendars for Executive Team leaders and optimize their time
- Coordinate executive travel, expenses, approvals, and follow-up
- Represent the Executive Team when coordinating with stakeholders, partners, and connections
- Work with Facilities, IT, Security, and the People team on the Phoenix office fit-out, furniture, badge access, technology, and move-in
- Run the Phoenix office after it opens and create a welcoming work environment
- Shape office culture and visitor experience
- Select and contract vendors and develop move-in and opening plans
- Use artificial intelligence to automate scheduling, briefing documents, expense handling, and follow-up tracking
- Identify future office priorities and communicate them
Requirements
What you’ll need- Fluency in written and spoken English
- Experience supporting executives and anticipating their needs
- Strong judgment and ability to act independently
- Discretion and ability to handle confidential information
- Ability to remain steady under pressure and manage disruptions
- Ability to provide attentive, people-focused support
- Willingness and ability to learn and use modern artificial intelligence tools
- Must be legally authorized to work in the country where the role is based at the time of hire and maintain that authorization throughout employment
